What Is a Tenant Ledger?

A tenant ledger tracks charges (like rent, late fees, and utilities) and payments for a tenant over time, so a landlord or property manager can see what was charged, what was paid, and the resulting balance at a glance.

How the Running Balance Works

Charges increase the balance and payments reduce it. Starting from an optional opening balance, each entry updates a running balance calculated directly from the entries in the ledger — nothing is estimated or assumed.

Manual Record-Keeping, Not Payment Processing

This tool does not connect to a bank, payment gateway, or financial account, and it does not collect or process payments. It is a manual record and calculation tool for tracking rental payment history.

Worked Example: Tracking Rent Payments in a Ledger

A tenant starts the month with a $0 opening balance. On the 1st, a $1,600 rent charge is added, bringing the balance to $1,600. On the 3rd, the tenant pays $1,600 by bank transfer, bringing the balance back to $0. The next month, a $75 late fee is added when rent arrives a few days late — the ledger shows exactly when each charge and payment happened and what, if anything, is still owed.

Common Mistakes When Keeping a Rent Ledger

Logging payments in a different order than they happened, which throws off the running balance; forgetting to record fees like late charges or utility pass-throughs as their own line items; mixing up which property or unit an entry belongs to when managing several tenants; and not reconciling the ledger balance against your bank records periodically.
